Onboarding Specialist – RPO Environment (US Account)

Job Description

Overview:

The Onboarding Specialist plays a key role in supporting end-to-end onboarding processes for US-based clients within an RPO environment. This role ensures new hires experience a smooth, compliant, and organized transition from candidate to employee while coordinating closely with recruiters, hiring managers, and HR operations teams.

Key Responsibilities:

  • Manage the full onboarding workflow for US hires, including document collection, pre-employment requirements, background checks, and start-date coordination.
  • Serve as the primary point of contact for new hires, providing guidance, status updates, and support throughout the onboarding process.
  • Collaborate with recruiters, HR, and client stakeholders to ensure onboarding tasks align with SLAs and client-specific requirements.
  • Review and verify all onboarding documents to ensure compliance with US labor standards, client policies, and RPO guidelines.
  • Prepare and send offer letters, onboarding packets, and system access instructions as required.
  • Track onboarding progress using ATS and HRIS systems (e.g., Workday, Taleo, Greenhouse, iCIMS).
  • Coordinate with background check vendors and ensure timely completion of screenings (criminal history, drug tests, employment verification, etc.).
  • Support I-9 and E-Verify compliance for US-based new hires (if applicable within the RPO scope).
  • Monitor start dates, confirm attendance, and escalate risks or delays to the recruitment and client leadership teams.
  • Maintain accurate onboarding records and generate reports for internal and client reviews.
  • Identify process gaps and collaborate with the RPO team to improve onboarding workflows and candidate experience.

Qualifications:

  • 1–3+ years of onboarding, HR coordination, or recruitment operations experience, preferably in an RPO or BPO supporting US clients.
  • Strong understanding of US onboarding compliance, employment documentation, and background screening processes.
  • Experience using ATS/HRIS platforms (Workday, Greenhouse, iCIMS, Taleo, etc.).
  • Excellent communication skills—clear, professional, and able to guide candidates through complex requirements.
  • Highly organized and detail-oriented with strong follow-through.
  • Ability to manage multiple onboarding pipelines and meet tight SLAs and deadlines.

Job Type: Temporary

Contract length: 5 months

Pay: Php30, Php40,000.00 per month
