Key Duties and Responsibilities
Event Planning & Coordination
  • Communicate with clients to understand event requirements, themes, budgets, and expectations.
  • Prepare event proposals, quotations, and contracts based on client needs.
  • Coordinate event logistics including layout, décor, seating arrangements, sound, lighting, and program flow.
  • Schedule and organize meetings, food tastings, and walkthroughs with clients when needed.
Operational Execution
  • Serve as the main point of contact during events, ensuring smooth flow from setup to closing.
  • Coordinate with the Kitchen, Bar, and Service Team to ensure timely delivery of food and beverages.
  • Supervise event setup, table arrangements, equipment preparation, and overall venue readiness.
  • Ensure proper manpower allocation for each event, including servers, hosts, and support staff.
Client & Guest Relations
  • Provide excellent customer service and address client concerns before, during, and after events.
  • Ensure all special requests, dietary requirements, and VIP considerations are met.
  • Follow up with clients post-event for feedback and future bookings.
Administrative & Reporting
  • Prepare event orders (BEO), schedules, and briefing documents for all concerned departments.
  • Monitor event budgets and expenses, ensuring alignment with approved costs.
  • Maintain records of bookings, client interactions, contracts, and payment documents.
  • Coordinate with accounting for billing, deposits, and collections.
Marketing & Promotion (if applicable)
  • Assist in promoting event packages, promotions, and seasonal offerings.
  • Work with the marketing team on materials, social media posts, and event-related collateral.
Compliance & Safety
  • Ensure that all events comply with safety, sanitation, and health regulations.
