· Set up Procurement System for real estate

o Prepare, recommend, seek approval for, document and implement an efficient procurement system and process for the real estate business

o Coordinate with IT to adopt digitalization, as needed

o Establish standard timelines for procurement

o Continuously seek to improve and speeden the process while generating savings and maintaining quality of output

  • Coordinate with project team on upcoming requirements; assist in obtaining pool of potential suppliers; assess suppliers and recommend short-list
  • Purchase Requisition to Purchase Order Processing
  • Coordinate with the internal customers for the specifications of the materials, supplies or services particularly those that are highly technical and complex.
  • Prepare and process all approved purchase requisitions of materials, supplies, or services by canvassing and comparing among different vendors.
  • For purchases within limits: negotiate for the best possible price on purchases, mindful of minimum quality requirements and required timeline for delivery.
  • For purchases above limits: coordinate with, organize, document and administer bidding process with the designated BidCom
  • Coordinate with Accounting department on preparation of purchase orders based on approved purchase recommendation summary and ensure accuracy of all entries in a timely manner
  • Purchase Order Delivery
  • Coordinate the processing of purchased materials, supplies, or services. Ensure that materials and supplies received or/and services rendered are as ordered and priced right with the right quality and quantity delivered at the right place within the time specified by the requisitioner.
  • Identifies corrective action remedies for defective or unacceptable materials, supplies or services and coordinate with the vendor regarding rejects, returns of repairs.
  • Payment Facilitation
  • Ensure timely payment to suppliers by mediating in billing reconciliation between vendors and Accounting for settlement of invoice discrepancies for actual materials, supplies or services ordered and delivered.

· Other work that may be assigned from time to time
