Job Description: Legal Document Specialist
Responsibilities:
  1. Document Management & Organization: Create a centralized structure within NetDocuments for all proposals, tenders, and legal templates. Ensure version control, file tagging, and document indexing for easy retrieval.
  2. Legal Proposal & Tender Preparation: Support the drafting, formatting, and assembly of proposals and tenders. Apply consistent formatting and branding based on firm standards.
  3. Profile & Template Review: Conduct quality checks on lawyer profiles and proposal templates. Recommend and implement improvements to structure and design.
  4. Reporting & Quality Assurance: Maintain daily activity logs and weekly summary reports. Conduct ongoing quality reviews with supervisor and QA oversight.
  5. Data Security & Compliance: Adhere to strict confidentiality protocols and NDAs. Follow secure file transfer and access control procedures compliant with ISO 27001 standards.
Qualifications:
  • At least 3 years of working in a legal firm in an administrative position.
  • Experience in administrative support, document management, and legal proposal handling.
  • Proven expertise in optimizing workflows for professional service organizations.
  • Familiarity with NetDocuments or similar document management systems.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work full-time and align with Oman business hours.
