Overview

We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide top-level administrative and personal support to an Israeli executive. The ideal candidate must be resourceful, detail-oriented, and capable of managing a fast-paced work environment. This role requires excellent communication skills, strong professionalism, and the ability to handle confidential information with complete discretion.


Key Responsibilities
Administrative Support
  • Manage daily schedules, appointments, and calendar activities
  • Organize meetings, prepare agendas, and take minutes when needed
  • Handle email correspondence, phone calls, and follow-ups on behalf of the executive
  • Prepare reports, presentations, and other business documents
Travel & Logistics Management
  • Coordinate travel arrangements, including flights, accommodations, and itineraries
  • Arrange transportation and ensure smooth logistics for local and international travel
Office Coordination
  • Liaise with internal departments and external partners
  • Assist with office operations, document filing, and record-keeping
  • Ensure the executive has all necessary materials and information for meetings
Personal Assistance (as required)
  • Complete personal errands or tasks when needed
  • Assist in managing household coordination or personal appointments
Project & Task Management
  • Support ongoing business projects and track progress
  • Conduct research and provide summaries or recommendations
  • Handle special assignments and confidential tasks

Qualifications
  • Bachelor's degree in Business Administration, Management, or related field
  • At least 2 years of experience as an Executive Assistant, Personal Assistant, or similar role
  • Strong command of written and spoken English
  • Excellent organizational, multitasking, and time-management skills
  • High level of professionalism, discretion, and reliability
  • Strong interpersonal skills and the ability to communicate effectively with an Israeli employer
  • Proficient in MS Office and modern productivity tools
  • Able to work independently and handle tasks with minimal supervision
  • Willing to report on-site to our BGC office

Work Schedule
  • Full-time office-based role
  • May require occasional overtime depending on business needs
