Overview
We are seeking a highly organized, proactive, and trustworthy Executive Assistant to provide top-level administrative and personal support to an Israeli executive. The ideal candidate must be resourceful, detail-oriented, and capable of managing a fast-paced work environment. This role requires excellent communication skills, strong professionalism, and the ability to handle confidential information with complete discretion.
Key Responsibilities
Administrative Support
- Manage daily schedules, appointments, and calendar activities
- Organize meetings, prepare agendas, and take minutes when needed
- Handle email correspondence, phone calls, and follow-ups on behalf of the executive
- Prepare reports, presentations, and other business documents
- Coordinate travel arrangements, including flights, accommodations, and itineraries
- Arrange transportation and ensure smooth logistics for local and international travel
- Liaise with internal departments and external partners
- Assist with office operations, document filing, and record-keeping
- Ensure the executive has all necessary materials and information for meetings
- Complete personal errands or tasks when needed
- Assist in managing household coordination or personal appointments
- Support ongoing business projects and track progress
- Conduct research and provide summaries or recommendations
- Handle special assignments and confidential tasks
Qualifications
- Bachelor's degree in Business Administration, Management, or related field
- At least 2 years of experience as an Executive Assistant, Personal Assistant, or similar role
- Strong command of written and spoken English
- Excellent organizational, multitasking, and time-management skills
- High level of professionalism, discretion, and reliability
- Strong interpersonal skills and the ability to communicate effectively with an Israeli employer
- Proficient in MS Office and modern productivity tools
- Able to work independently and handle tasks with minimal supervision
- Willing to report on-site to our BGC office
Work Schedule
- Full-time office-based role
- May require occasional overtime depending on business needs
