  • The Role & Impact: As an Executive Assistant based in BGC, you will provide comprehensive, high-level administrative support to senior management. Your efficiency in managing schedules, preparing documentation, and coordinating HRAD tasks will directly contribute to executive productivity and organizational efficiency. This is an onsite role requiring high attention to detail and a commitment to professional excellence.

What You'll Be Doing

  • Executive Administration: Manage and maintain complex executive calendars, schedule meetings, coordinate travel arrangements, and handle expense reporting and filing systems.
  • Meeting Management & Documentation: Take clear, accurate minutes during board, committee, and internal strategic meetings, and ensure all documentation is properly filed and confidential.
  • Presentation & Communication: Design and develop compelling presentations (using tools like PowerPoint or Canva) for internal and external stakeholders, translating complex data into clear visuals for executive reports.
  • HRAD Support: Assist in essential back-office tasks, including logistics, organizing personnel files, tracking administrative documentation, and supporting employee onboarding logistics.
  • Office Operations: Oversee general office administrative duties, manage supplies, coordinate vendors, and ensure the BGC workspace runs efficiently.

What You Offer to Succeed (The Ideal Executive Support Specialist):

  • Experience & Work Location: Proven experience supporting senior-level executives or management. Must be willing and able to work onsite in BGC.
  • Technical & Creative Skills: Demonstrable proficiency in creating professional presentations using tools such as Canva and/or PowerPoint for meetings and reports.
  • Administrative Acumen: Exceptional organizational skills, high attention to detail, and proven ability to take minutes accurately and concisely.
  • HRAD Knowledge: Prior experience or foundational knowledge of HR Administration duties (e.g., records management, compliance documentation) is a strong advantage.
  • Education: Bachelor's Degree required.
  • Character: High level of discretion, professionalism, confidentiality, and time management skills.
