Administrative Assistant – Financial Services Firm (New York, NY)
Location: Remote support for a New York-based financial services firm
Schedule: Full-time, Monday to Friday, 8:00 AM – 5:00 PM EST
About the Role
We are seeking a highly organized and proactive Administrative Assistant to provide dedicated support to a dynamic financial services team. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Calendar & Meeting Management:
- Schedule and coordinate meetings using Outlook and Gmail.
- Manage complex calendars and resolve scheduling conflicts.
- Coordinate with internal team members and external stakeholders across multiple time zones.
- Administrative Support:
- Take light notes during meetings and maintain organized records.
- Assist investment professionals with task tracking and "to-do" lists.
- Prepare and edit basic documents, spreadsheets, and presentations as needed.
- Travel Coordination:
- Arrange domestic and international travel, including flights, hotels, and ground transportation.
- Prepare detailed itineraries and ensure timely confirmations.
- Communication & Phone Management:
- Answer and route incoming calls professionally.
- Serve as a point of contact for inquiries and provide timely responses.
Qualifications
- Proven experience as an administrative assistant or similar role, preferably in financial services or professional services.
- Proficiency in Microsoft Outlook, Gmail, and other productivity tools.
- Strong organizational and time-management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Ability to work independently and maintain confidentiality.
Additional Details
- Work Hours: 8:00 AM – 5:00 PM EST, Monday through Friday.
- Location: Remote (must be available during EST business hours).
- Competitive compensation based on experience.
Job Types: Full-time, Permanent
Pay: Php25, Php35,000.00 per month
