We're seeking a Sales Outreach & Admin Support Specialist to handle client communications, confirm bookings, and provide essential administrative support. The ideal candidate is organized, reliable, and confident in managing client interactions with a warm, professional tone. Your goal will be to ensure seamless appointment scheduling, maintain accurate records, and contribute to smooth day-to-day operations.

Key Responsibilities

  • Call clients who book via Facebook lead ads or landing pages to confirm their appointments (hot leads).
  • Send reminders and confirmations one day before scheduled appointments.
  • Reconnect with past clients to share new offers, promotions, and updates.
  • Make occasional cold calls during idle hours to engage potential leads.
  • Maintain accurate call logs, confirmations, and attendance data using Google Sheets or CRM tools.
  • Update the internal team on booking statuses, client feedback, and attendance trends.
  • Respond promptly and professionally to client inquiries via phone, email, or social media.
  • Manage scheduling, rescheduling, and cancellations to ensure an organized calendar.
  • Support administrative and social media-related tasks during downtime.

Mandatory Skills & Qualities

  • Excellent English communication skills — clear, warm, and polite (Canadian-style etiquette preferred).
  • Strong interpersonal and persuasion skills; able to confirm bookings in a friendly, non-pushy way.
  • Highly organized and dependable, with consistent follow-up habits.
  • Professional, patient, and empathetic when dealing with clients aged 40–60.
  • Sharp attention to detail when recording and updating client data.
  • Reliable internet connection and a quiet, distraction-free workspace.
  • Availability to work during the client's business hours (depending on location).

Preferred Skills

  • Experience in telemarketing, appointment setting, or customer service — ideally in the clinic, beauty, or wellness industry.
  • Familiarity with CRM systems or online booking platforms.
  • Experience working with North American clients.
  • Ability to manage multiple priorities while maintaining excellent communication.
