OB SUMMARY:

The Logistics & Trucks Coordinator is responsible for the efficient scheduling, dispatching, and coordination of trucks and drivers to ensure timely delivery and transportation of goods. This role ensures compliance with transport regulations, maintains effective communication with drivers and clients, and support smooth logistics operations across the supply chain.

Key Responsibilities:
  1. Fleet Coordination:

Plan, schedule, and dispatch trucks and drivers for delivery and pick-up operations based on the workload, customer needs, and delivery deadlines.

  1. Route Planning & Optimization:

Create efficient delivery routes to minimize fuel consumption, travel time, and delays, considering traffic, road conditions, and weather.

  1. Documentation & Reporting:

Maintain accurate records of truck movements, delivery schedules, fuel, usage, and driver logs. Prepare daily, weekly, and monthly logistics reports.

4. Communication & Problem Solving:

Serve as the main point of contact for drivers, customers, and suppliers. Address delays, vehicle breakdowns, and other delivery-related issues in real time.

  1. Compliance & Safety:

Ensure drivers adhere to transport laws, company policies, and safety procedures. Monitor and coordinate vehicle maintenance and inspections.

  1. Inventory Coordination:

Collaborate with warehouse teams to track inventory movement and ensure timely loading/unloading of goods.

  1. Cost Control:

Monitor fuel consumption, trip expenses, and optimize transportation costs while maintaining delivery efficiency.

OTHER RESPONSIBILITIES:

  1. Monitor all incoming import vans, ensuring timely unloading, documentation, and proper acknowledgment of goods received.
  2. Track the withdrawal and return of import vans, including scheduling and recording of each movement to and from the warehouse or yard.
  3. Coordinate and monitor truck withdrawals and deliveries, ensuring dispatch is aligned with delivery schedules and customer requirements.
  4. Communicate with warehouse personnel to ensure goods are ready and properly loaded for dispatch.
  5. Maintain accurate logs of all truck activities, including trip tickets, delivery receipts, and return documentation.
  6. Coordinate with trucking service providers, drivers, and internal teams to ensure efficient transport of goods.
  7. Report any delays, issues, or incidents related to transport, van return, or deliveries to the Logistics Manager.
  8. Ensure that all logistics activities comply with internal procedures and external regulations (e.g., BOC, port regulations, safety standards).
  9. Assist in optimizing transport schedules and routes to improve efficiency and reduce costs.
  10. Support in preparing daily, weekly, and monthly logistics reports as required.
Qualifications:

· Bachelor's degree in Logistics, Supply Chain, Business Administration, or related field (preferred).

· At least 1-3 years of experience in logistics coordination or transport operations.

· Familiarity with importation processes and port/warehouse operations.

· Strong organizational and time-management skills.

· Attention to detail and ability to handle multiple logistics schedules simultaneously.

· Effective communication and coordination skills.

· Proficient in Microsoft Office (Excel, Word) and logistics tracking systems.

Working Conditions:

· Office-based with regular coordination in the field or warehouse areas.

· May require extended hours or weekend work depending on delivery schedules.

· Must be able to respond to logistics concerns promptly and professionally.
