Zoho Specialist

About the Role
Own, maintain, and improve our Zoho ecosystem (CRM, Campaigns, Books, Flow, Analytics; later Inventory/Desk) and deliver friendly Level-1 IT support across Microsoft 365. You'll build reliable automations and integrations that help Sales/ Marketing/ Finance/ Operations move faster, run short training via Teams, and keep our environment secure and tidy.
Key Responsibilities
1. Zoho Environment Management
- Configure and maintain Zoho apps (CRM, Campaigns, Books, Flow, Analytics) aligned to business objectives.
- Build automations, workflows, validation rules, blueprints, and custom functions to improve data quality and speed.
- Integrate Zoho with internal and third-party systems (APIs, Zoho Flow, Xero etc).
- Monitor performance, data hygiene, and usage; propose and implement improvements.
- Troubleshoot issues and manage changes with basic release notes and rollback plans.
2. IT Support (Microsoft 365 & General)
- Provide first-line support for hardware, software, and network basics.
- Administer accounts, permissions, device setups, and access (Entra ID/Azure AD, Exchange, SharePoint/OneDrive, Teams).
- Log, triage, and close tickets against simple SLAs; maintain a small knowledge base.
- Escalate complex incidents to vendors or senior technical partners.
3. Training & Enablement
- Deliver short, practical Teams sessions (30–45 min) for Zoho & Microsoft 365 use cases.
- Produce user guides, quick-start checklists, and FAQs for onboarding and ongoing adoption.
- Offer 1:1 support and floor-walking (virtual) to lift confidence and usage.
4. Collaboration & Communication
- Partner with Sales/Marketing/Finance/Operations to map processes and translate them into reliable workflows.
- Liaise with Zoho Support and external vendors when deeper technical help is needed.
- Communicate clearly, document decisions, and show patience and empathy with non-technical users.
Qualifications & Experience
- Graduate of Information Technology, Computer Science, or any related field.
- 2 to 4 years administering Zoho (CRM mandatory) with hands-on customization (layouts, modules, workflows, blueprints).
- Experience with deluge or equivalent scripting; comfort reading API docs and using tokens/webhooks.
- Practical Microsoft 365 administration: user provisioning, Teams/SharePoint basics, mail/Groups, MFA.
- Solid troubleshooting across Windows/Mac, browsers, and common SaaS tools.
- Strong communication: turn requirements into simple workflows; write clear guides and tickets.
- Zoho Flow, Analytics, Books/Inventory experience; Zoho One administration.
- Data skills: deduping, imports/exports, segmenting lists, basic reporting dashboards.
- Power Automate/Power BI basics; Intune device management fundamentals.
- Basic security hygiene: MFA enforcement, permission reviews, audit logs.
- Familiarity with marketing ops (lists, campaigns) and sales ops (pipelines, SLAs, handoffs).
