Position Overview

The Administrative Assistant will provide comprehensive administrative and clerical support to ensure the efficient operation of the institute. The role involves managing documentation, coordinating with trainees and instructors, maintaining records, and assisting in the day-to-day activities of the training center.

Key Responsibilities

  • Provide administrative and office support to ensure smooth daily operations.
  • Handle trainee registration, enrollment records, and issuance of training certificates.
  • Coordinate with instructors and staff regarding class schedules, attendance, and assessments.
  • Maintain organized and updated filing systems (both physical and digital).
  • Answer phone calls, respond to emails, and manage front desk inquiries in a professional manner.
  • Assist in preparing reports, memos, and other correspondence as needed.
  • Support compliance with MARINA requirements, including record keeping and documentation.
  • Manage office supplies inventory and ensure proper maintenance of office equipment.
  • Assist in organizing training sessions, assessments, and meetings.
  • Perform other administrative duties as may be assigned by management.

Qualifications

  • Bachelor's degree in Business Administration, Office Management, or any related field.
  • Preferably with experience in an educational or maritime training institution.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic computer operations.
  • Ability to handle confidential information with professionalism and discretion.
  • Customer-oriented, reliable, and able to work independently or as part of a team.
