Job description:

As a Medical Records Data Entry Encoder & Services Aide at Clinilab Medical Services, Inc.—a leading diagnostic and examination facility for overseas workers and seafarers since 1991—you will ensure the integrity, accuracy, and accessibility of patient records. You will split your time between high‑volume data entry, records management, and front‑line support duties, contributing to smooth clinic operations and compliant medical documentation.

Key Responsibilities

1. Data Entry & Records Management

  • Accurately encode new and follow‑up patient data into our Medical Health Record system.
  • Validate and update patient demographics, test results, and examination notes.
  • Scan, index, and file paper records into digital archives using file editor tools and clinic‑specific document management software.

2. Services Aide & Administrative Support

  • Greet and assist patients at the records counter; verify identity and direct them to the appropriate service area.
  • Coordinate with partner agencies to prepare and release Medical Examination Certificates and laboratory reports on schedule.
  • Assist with appointment scheduling and follow‑up reminders via phone, email (Yahoo or Gmail), or SMS.
  • Maintain the inventory of medical forms, labels, and supplies; submit purchase requests as needed.
  • Assist the physicians of different medical examinations of patients.

3. Compliance & Confidentiality

  • Handle all records in strict accordance with ISO 9001:2015, and local data‑privacy regulations.
  • Securely dispose of sensitive documents and manage access controls for digital files.
  • Participate in quarterly compliance training and document-control audits.

4. Reporting & Continuous Improvement

  • Generate and distribute daily/weekly transmittal reports to internal teams and external agencies.
  • Recommend process improvements—such as workflow automation or template optimization—to enhance efficiency.

Qualifications

  • Experience: 6 months to 1 year in clinic or hospital records management and data entry.
  • Education: High school diploma or equivalent; Associate or Bachelor's degree in Health Information Management or related field is a plus.

Technical Skills:

  • Proficient in MS Office Suite (Excel, Word, Outlook)
  • Familiarity with document management systems.
  • Basic understanding of medical terminology and coding.
