CHIEF OBJECTIVES OF THIS POSITION
The Production Assistant supports the Director of Technical Production and
Operations in coordinating financial, administrative, and project management
tasks that ensure the smooth execution of events and efficient internal
operations. This role acts as a liaison between production, project management,
and finance teams, maintaining organized systems and accurate records that
contribute to Wizard Studios' overall operational success.
GENERAL RESPONSIBILITIES
Vendor & Contractor Management
● Onboard vendors and independent contractors, ensuring all
documentation is complete and compliant.
● Collaborate with Project Managers to approve contractor invoices
and route them to Finance for payment.
● Maintain current vendor files and assist with workman's comp
compliance documentation.
Financial Administration
● Assist in maintaining and updating purchase orders (rental,
purchase, and labor) in Flex, ensuring accuracy throughout project
lifecycles.
● Support expense tracking, AMEX report reconciliation, and event
budget close-outs.
● Track actual margins versus budgeted projections and assist with
end-of-job financial reporting.
● Organize and maintain financial records for R&D tax preparation
and internal audits.
Project & Workflow Support
● Keep Asana projects up to date with current timelines, deliverables,
and team assignments.
● Track missing or incomplete event recap forms and coordinate with
project teams to resolve outstanding items.
● Assist with preparation for internal meetings by updating decks,
tracking action items, and taking notes.
● Maintain the PTO calendar and help coordinate scheduling and
meeting logistics.
Operations & Organization
● Sort and catalog event photos provided by Project Managers.
Maintain organized shared drives and project folders within Google
Drive.
● Take notes during meetings and distribute them through the
appropriate communication channels.
QUALIFICATIONS
● Bachelor's degree or equivalent experience in event production,
business administration, or a related field.
● 1–3 years of experience supporting production, operations, or
administrative functions in a creative or event-driven environment.
● Proficiency and familiarity with:
○ Google Workspace (Gmail, Sheets, Docs, Slides, Drive)
○ Slack for team communication and collaboration
○ Asana for project tracking and task management
● Strong organizational skills and attention to detail.
● Excellent written and verbal communication skills.
● Ability to manage multiple priorities in a fast-paced,
deadline-driven environment.
● Comfortable working independently and collaboratively across
departments.
● Basic understanding of accounting or budgeting processes is a plus.

Job Types: Full-time, Permanent
Pay: Php25, Php35,000.00 per month
