Schedule: Mon-Fri, 4 hours overlap within 11AM-7PM Melbourne time

About the Role
We are looking for a proactive Operations & Systems Assistant to support a growing Melbourne-based business. This role is designed for someone who thrives in creating order, building systems, and executing tasks that keep operations running smoothly.
You will play a vital role in setting up essential tools and processes, organizing data, supporting workflows, and building dashboards that allow the business to run efficiently. This is a remote, part-time contractor position with the potential to grow into a long-term engagement.
Responsibilities
Systems & Process Setup
- Implement and configure tools such as Slack, help desk software, and internal dashboards
- Set up and manage automation workflows (e.g., Zapier, GoHighLevel, or similar platforms)
- Recommend and implement systems that improve efficiency and solve operational challenges
Data & Reporting
- Build dashboards that integrate data from Shopify, Square, and other platforms
- Create reports to track KPIs, sales performance, and staff productivity
General Operations Support
- Execute project-based operational tasks as assigned
- Take ownership of administrative and organizational needs that arise
- Act as a reliable partner to free up leadership's time by ensuring tasks are completed efficiently
- Assist with recruitment workflows such as posting job ads, reviewing applications, and scheduling interviews for local studio staff (e.g., piercers, front-of-house)
Competencies and Qualifications
- Minimum 1 year of relevant experience in operations, administration, or project support
- Experience with tools such as Zapier, Slack, Shopify, Square, or other workflow/automation platforms (preferred but not required if willing to learn quickly)
- Strong organizational and problem-solving skills with attention to detail
- Ability to work independently with minimal supervision
- Strong English communication skills (written and verbal)
- Comfortable working remotely across time zones (flexible schedule)
