The Tenant Relations Officer is the primary point of contact for tenants regarding lease agreements, rental payments, and customer service concerns. This role ensures smooth communication, timely collections, and high tenant satisfaction while supporting the Property Manager in occupancy and retention goals.
Key Responsibilities
Tenant Communications & Support
Act as the first line of communication for tenants regarding lease terms, payments, renewals, and general concerns.
- Maintain professional, courteous relationships with all tenants.
Address complaints and coordinate resolution with relevant departments (Building Supervisor, Accounting, Contractors).
Leasing & Occupancy
Assist in marketing vacant spaces and conducting property viewings.
- Handle tenant onboarding: prepare contracts, welcome orientation, and move-in documentation.
Manage renewals, rent escalations, and notice-to-vacate processes.
Rental Payments & Collections
Send monthly billing reminders and follow up on overdue accounts.
- Coordinate with Accounting Officer on rental ledgers and collections status.
Escalate chronic delinquencies to the Property Manager for legal or enforcement action.
Records & Documentation
Maintain updated tenant records, contracts, and correspondence.
- Track lease expiry dates and proactively initiate renewal discussions.
Prepare reports on occupancy, collections, and tenant feedback.
Customer Service & Retention
Implement tenant satisfaction programs (feedback surveys, newsletters, updates).
- Organize small tenant engagement activities (if applicable, for office properties).
- Recommend improvements to enhance tenant experience and reduce turnover.

Qualifications
- 2–4 years of experience in property management, leasing, or customer service.
- Strong communication and negotiation skills.
- Organized and detail-oriented, with good documentation habits.
- Basic knowledge of rental contracts and collections processes.
- Proficient in MS Office / property management software.

- Occupancy rate and renewal ratio.
- Timeliness of rent collections (aging of receivables).
- Tenant satisfaction scores / complaint resolution time.
- Accuracy and completeness of tenant records.
Job Types: Full-time, Permanent
