Position Summary:

The Executive Assistant / Procurement Officer supports management with high-level administrative tasks while handling procurement and facility-related activities. The role requires hands-on experience in contractors coordination, building maintenance, or construction support.

Key Responsibilities:Executive Assistance

  • Manage executive calendars, meetings, travel, and communications.
  • Prepare reports, presentations, and correspondence.
  • Handle confidential information with discretion.
  • Coordinate with internal and external stakeholders on behalf of management.

Procurement Functions

  • Source and negotiate with suppliers for materials, equipment, and services.
  • Prepare purchase orders, canvasses, quotations, and comparative bid sheets.
  • Track deliveries, inventory levels, and supplier contracts.
  • Maintain organized procurement files and records.

Facility, Construction & Maintenance Coordination

  • Coordinate with contractors for facility repairs, renovations, or construction activities.
  • Monitor work progress, ensure compliance with specifications, and report updates to management.
  • Support the upkeep of office facilities, equipment, and utilities.
  • Assist in acquiring permits or documents related to facility work when needed.

Administrative Support

  • Prepare memos, letters, and communications in English and Tagalog.
  • Maintain organized physical and digital files.
  • Support office operations and other departments when needed.

Qualifications:

  • Experience as an Executive Assistant, Procurement Officer, or similar role.
  • With hands-on experience in building maintenance, construction coordination, or facility management.
  • Strong Excel and MS Office skills.
  • Excellent communication and writing skills (English & Tagalog).
  • Can work independently, organized, and detail-oriented.
  • Professional demeanor and high level of integrity.

Job Type: Full-time

Pay: Php25, Php30,000.00 per month
