Procurement Assistant

KEY RESPONSIBILITIES
- Record and monitor Purchase Requisitions (PR) received from the managed Condominium Corporations (Condo Corps).
- Assist in the creation, processing, review for accuracy, tracking, and monitoring of purchase orders for on-time delivery.
- Coordinate with the Technical Support Group (TSG) for the evaluation of specifications and/or terms of reference (TOR) stated in the PR.
- Research and identify potential suppliers/vendors and maintain a comprehensive, up-to-date supplier database.
- Solicit and collect price quotations from accredited bidders based on the submitted PR.
- Negotiate with chosen bidders to secure the best and final prices.
- Prepare the Abstract of Bids (AOB) based on consolidated/validated quotations.
- Monitor the complete approval and release of the AOB and Purchase Order (PO) from the GPMC Head Office.
- Maintain accurate and organized procurement records, contracts, and supporting documentation.
- Help ensure strict compliance with company procurement policies and relevant regulatory requirements.
- Monitor and update inventory levels and assist in conducting regular stock counts.
- Coordinate with relevant departments and Property Management Offices (PMO) for urgent/emergency material or service requirements.
- Prepare various reports, notes, and summaries as needed for the Procurement Manager.
- Provide general administrative support to the procurement team.
QUALIFICATIONS
- Bachelor's Degree in Business Management or any related course
- With at least one year of relevant work experience
- MS Office Proficient (Word, Excel, PowerPoint)
- Good interpersonal skills
