What We Look For
We are seeking a highly skilled Legal Assistant with experience in Estate Planning and Entity Formation/Dissolution—particularly someone based in Latin America with a strong command of English and proven drafting experience.
This role supports our Estate Planning and Entity Services team by preparing client documents, processing entity formations and dissolutions, maintaining communication with clients and attorneys, and managing document workflows in Lawmatics, Clio, and Google Workspace. The ideal candidate has deep familiarity with trust and estate documentation, business entity filings (LLCs, corporations, partnerships), and experience producing precise legal drafts in English.
Qualifications
- 3+ years of legal assistant or paralegal experience in Estate Planning and/or Business Entity Services.
- Fluent English (written and spoken); advanced drafting skills required.
- Prior experience supporting a U.S. law firm, ideally in California.
- Familiarity with trust structures, business succession planning, and corporate compliance.
- Proficient with Clio Manage, Lawmatics, Google Workspace, and general document automation tools.
- Excellent attention to detail, ability to meet deadlines, and proactive communication skills.
- Bachelor's degree or equivalent preferred; formal paralegal certification a plus.
- Strong organizational and project management ability.
- Demonstrated reliability and consistency in remote, cross-border work settings.
- Interest in long-term collaboration and professional growth with Bay Legal's international operations.
Responsibilities
- Prepare and revise estate planning documents, including trusts, wills, powers of attorney, and advance healthcare directives.
- Draft and file entity formation and dissolution paperwork (LLC, corporation, partnership) with the California Secretary of State and other jurisdictions.
- Coordinate with attorneys to ensure all documents comply with legal and procedural standards.
- Conduct entity searches, manage EIN applications, and track filings through completion.
- Maintain accurate client files, document management, and task tracking in Clio Manage, Lawmatics, and Google Drive.
- Communicate with clients regarding information requests, document reviews, and next steps in the estate planning or entity process.
- Collaborate with U.S.-based attorneys and support staff in a fast-paced, remote environment.
- Handle drafting assignments in English with precision and excellent written structure.
Technical Requirements:
- A laptop or desktop with at least an Intel i5 or equivalent, operating on Windows 11.
- A built-in or external webcam.
- A stable internet connection of not less than 50MBPS.
- Noise-cancelling headset.
- Backup power and internet.
- An active WhatsApp account.
Work Hours & Setup:
- Schedule: Full-time, Monday to Friday (45 hours/week), 8:00 AM–5:00 PM PST, with a 1-hour unpaid break and two 10-minute paid breaks.
- Remote Collaboration: Must be comfortable staying on Zoom throughout the shift for seamless communication and teamwork with remote staff.
