Overview

We are seeking a highly organized, resourceful, and proactive Executive Assistant to the President and HR Coordinator who will play a vital role in ensuring smooth day-to-day operations of the office and supporting company leadership. This position goes beyond traditional administrative support, encompassing responsibilities in human resources, risk management, and personal/transactional matters for the business owners. The ideal candidate must demonstrate discretion, professionalism, multitasking ability, and strong problem-solving skills.

Key Responsibilities Executive & Administrative Support

  • Manage the President's calendar, appointments, travel arrangements, and daily agenda.
  • Prepare reports, presentations, and communications for executive and board meetings.
  • Handle confidential correspondence and documents with utmost discretion.
  • Serve as Board Room In-Charge: prepare minutes, coordinate schedules, and ensure proper meeting logistics.

Risk Management & Compliance

  • Assist in identifying, monitoring, and mitigating operational or compliance risks.
  • Ensure compliance with regulatory requirements in coordination with the President and legal advisers.
  • Support the preparation of reports for auditors, regulators, and internal risk committees.

Owner's Transactions & Personal Support

  • Handle selected personal and business-related transactions of the owners with confidentiality.
  • Coordinate logistics, payments, and documentation related to personal investments and properties.
  • Manage ad hoc tasks and errands as assigned by the owners.

Other Responsibilities

  • Coordinate cross-departmental requirements as directed by the President.
  • Represent the President in selected internal/external communications.
  • Perform other tasks assigned by ownership and top management.

Qualifications

  • Bachelor's Degree in Business Administration, Management, HR, or related field.
  • At least 3 years of experience as an Executive Assistant, Office Manager, or similar role.
  • Strong background or exposure in HR and risk/compliance preferred.
  • Excellent organizational, communication, and multitasking skills.
  • High level of professionalism, integrity, and discretion in handling sensitive information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Job Types: Full-time, Permanent

Pay: Php25, Php35,000.00 per month
