What you'll do:

As a Policy & Administration Support Officer, you are responsible for providing accurate and timely administrative support to insurance brokers (Risk Advisers) throughout the policy lifecycle. This includes processing, documentation management, client correspondence, and assisting with minor online system transactions. The role ensures that client policies are administered with precision and compliance while supporting brokers to deliver a seamless client experience

Key responsibilities for this role include:

  • Policy Administration & Documentation
  • Prepare, issue, and update policy documents, endorsements, schedules, and certificates.
  • Maintain accurate client records within the broker management system.
  • Liaise with insurers to obtain policy wording, renewal terms, and documentation.
  • Check policy documents for accuracy and compliance before issuing to clients.
  • Processing & Online Support
  • Assist with minor online processing tasks such as data entry, updating policy details, and requesting quotes via insurer portals.
  • Support Risk Advisers in lodging and following up transactions within digital insurance platforms.
  • Monitor and track processing timelines to ensure commitments are met.
  • Client & Broker Support
  • Respond to basic client document requests and direct complex enquiries to the appropriate adviser.
  • Provide administrative assistance during renewals, including preparing pre-renewal packs and collating required information.
  • Follow up on outstanding client documents or requirements.
  • Compliance & Quality Control
  • Ensure all documentation meets regulatory and internal compliance standards.
  • Follow brokerage procedures and maintain confidentiality of client information.
  • Team Collaboration
  • Work closely with Risk Advisers, sales support, and the finance/operations team to ensure smooth policy handling.
  • Participate in team meetings and contribute to process improvement discussions.

Successful candidate must have:

  • Essential:
  • Previous administrative experience in insurance, financial services, or a related field.
  • Strong attention to detail and accuracy in document handling.
  • Proficiency with Microsoft Office Suite and ability to learn broker management systems.
  • Organised, able to prioritise tasks, and meet deadlines in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Desirable:
  • Experience with insurer online portals and quoting systems.
  • Basic knowledge of general insurance products and terminology.
  • Understanding of ASIC/AFCA compliance requirements in insurance.
