Job Summary/Purpose

The Marketing Services Officer is the operational hub of the marketing department, responsible for ensuring the seamless and timely execution of all marketing projects and campaigns. This role acts as the central coordinator, implementing and managing processes that drive efficiency, accountability, and on-time delivery.

By overseeing project timelines, establishing a clear cadence for communication, and serving as the final checkpoint for quality assurance, the Marketing Services Officer is critical to transforming marketing strategies into flawlessly executed results.

Key Responsibilities

  1. Project & Campaign Coordination

  2. Serve as the central point of contact for all marketing project workflows, tracking initiatives from briefing to completion.

  3. Implement and manage a project tracking system (e.g., Asana, Trello, or similar) to provide clear visibility on the status of all deliverables for all stakeholders.
  4. Develop and manage detailed project timelines, proactively identifying potential delays and collaborating with team members to resolve bottlenecks.
  5. Coordinate with internal teams (Creatives, Digital, Brand) and external partners (agencies, printers, vendors) to ensure all parties have the information and assets they need to meet deadlines.
  6. Enforce the use of standardized Job Order (JO) forms for all incoming marketing requests and help establish and monitor Service Level Agreements (SLAs) to manage stakeholder expectations.

  7. Process Management & Cadence

  8. Establish and enforce a regular cadence for project status meetings, check-ins, and reporting to ensure continuous alignment and progress.

  9. Develop and document standard operating procedures (SOPs) for key marketing workflows, such as the campaign briefing process, collateral production, and budget requests.
  10. Monitor team workload and project pipelines, providing the Marketing Head with insights to assist with resource allocation and prioritization.

  11. Quality Assurance & Asset Management

  12. Act as the final checkpoint for quality assurance on marketing materials before they are published or sent to print.

  13. Perform meticulous proofreading of all marketing copy—from social media captions to print ads and website content—to ensure it is free of grammatical errors, typos, and inconsistencies.
  14. Oversee the company's digital asset management (DAM) system, ensuring all final marketing assets are correctly named, filed, and easily accessible to the team.

  15. Budget & Administrative Support

  16. Track marketing expenditures against project and campaign budgets, ensuring accurate financial record-keeping.

  17. Manage the processing of invoices, purchase orders, and other financial documents for the marketing department.
  18. Coordinate the logistics for marketing events, photoshoots, and other activities as needed.

Qualifications

  • Bachelor's Degree in Marketing, Communications or any related field.
  • Proficient in Google Workspace.
  • Experience with project management software (e.g., Google Spaces, Trello, ) is highly preferred.
  • 2-4 years of experience in marketing operations, project coordination, or a similar role where managing multiple projects and deadlines was a core responsibility
  • Exceptional project management and organizational skills with a proven ability to implement and manage processes that improve team efficiency.
  • Meticulous attention to detail, with strong, demonstrated proofreading and editing skills.
  • A proactive, solution-oriented mindset; you don't wait for problems to happen, you anticipate them.
