Administration Assistant | Onsite | Xplan Location: Clark, Onsite

Shift: 7:00 AM - 4:00 PM Monday - Friday

About this role. . .

As an Administration Assistant, you will deliver high-quality support across a wide range of administrative tasks, helping us enhance the client and advisor experience. You'll work closely with our internal teams and external service providers to ensure processes run efficiently and accurately.

Duties and Responsibilities:

  • Maintain and update databases (client details, data collection forms)
  • Manage filing systems and document storage
  • Process revenue matching and distribute monthly reporting
  • Create and maintain client opportunities, matters and time adjustments
  • Assist with onboarding/offboarding staff
  • Support the Innovation Committee with ad hoc projects
  • Monitor and action tasks in the 'Change of Details' inbox
  • Set up Xplan client portal logins
  • Co-ordinate marketing newsletter distribution
  • General administration, data entry, and assisting with invoicing
  • Attend team meetings and contribute to improving admin processes

About you

  • Diploma or Certificate IV in Business Administration, or equivalent experience
  • At least 2 years of experience in similar role
  • Previous experience in a professional services environment (desirable)
  • Financial services knowledge is advantageous but not essential
  • Proficiency with Microsoft Office; experience with Xplan is a plus
  • Strong organisational skills and attention to detail
  • Excellent communication and interpersonal abilities
  • A positive, proactive mindset with the ability to work independently and as part of a team
  • Motivation to continuously improve processes and contribute to team success
  • Reliability, initiative, and a commitment to delivering high-quality work
