Titan Services, Inc is seeking a highly organized and detail-oriented General Admin Virtual Assistant (Support) to provide administrative support and help streamline daily operations to one of our clients in the Roofing industry. This role will focus on managing inbound calls, CRM updates, scheduling, email management, and financial categorization tasks. The ideal candidate is reliable, proactive, and comfortable working with business systems like JobNimbus, QuickBooks, and Zoom Phone.

Key Responsibilities

1. Call Handling & CRM Support

  • Transition inbound call center tasks in-house.
  • Answer and manage inbound customer calls using Zoom Phone.
  • Create, update, and manage leads, jobs, and customer details in JobNimbus (CRM).
  • Schedule roofing inspections, estimates, and follow-ups.

2. Email & Communication Management

  • Manage the company's email inbox with efficiency and professionalism.
  • Prioritize urgent messages, flag important communications, and draft responses as needed.
  • Ensure timely and professional communication with customers and internal team members.

3. QuickBooks Support

  • Assist with categorizing and reconciling transactions in QuickBooks.
  • Maintain accurate records of financial transactions.
  • Support the bookkeeping team in ensuring financial accuracy.

4. Administrative Support

  • Organize and maintain digital records.
  • Provide general administrative assistance to the management team.
  • Assist in preparing reports and tracking project timelines.

Qualifications

  • Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
  • Strong communication skills (written and verbal) in English.
  • Experience with JobNimbus, QuickBooks, and Zoom Phone (or willingness to learn quickly).
  • Strong organizational and multitasking abilities.
  • Detail-oriented with excellent problem-solving skills.
  • Ability to work independently and meet deadlines.

Preferred Skills

  • Familiarity with CRM platforms and scheduling tools.
