Our client is a multi-state ambulatory surgery center specializing in pediatric and special needs dentistry under general anesthesia. Their mission is to provide safe, compassionate, and efficient surgical care while creating a supportive environment for patients, families, and staff. To ensure quality care and regulatory compliance, we are seeking a detail-oriented Credentialing Specialist to join their growing team.

About the Role

The US Payroll & Benefits Support Specialist plays a pivotal role in ensuring seamless day-to-day operations across multiple entities by providing comprehensive administrative and payroll support. This role supports payroll processing, benefits administration, accounts payable, vendor management, and corporate compliance, enabling the Business Administration Manager to focus on strategic financial and operational priorities.

What You'll Do

  • Payroll & Benefits Support (Gusto / Multi-Entity Support)
  • Prepare, review, and validate timekeeping data for accurate payroll processing across entities in Gusto.
  • Maintain and update employee payroll records, including new hires, terminations, pay rate adjustments, and status changes.
  • Assist with tracking, auditing, and reporting PTO, sick leave, and FMLA/LOA records to ensure compliance and accuracy.
  • Support annual open enrollment and ongoing benefits administration, including data entry, documentation, and employee communications.
  • Accounts Payable / Vendor Administration / QuickBooks Online)
  • Process vendor invoices in with accuracy, ensuring proper documentation, coding, and timely payment.
  • Assist with vendor onboarding, including W-9 collection and verification.
  • Reconcile vendor payments and maintain precise financial records in QuickBooks Online.
  • Collaborate with HR and Finance teams to ensure recurring expenses are documented, authorized, and processed efficiently.
  • Corporate & Administrative Support
  • Prepare Certificates of Insurance (COIs) and maintain organized insurance documentation.
  • Assist with workers' compensation documentation, compliance, and audit preparation.
  • Support corporate filings and data entry for new company setup, including EIN registration and Secretary of State filings.
  • Maintain organized payroll tax setup and compliance documentation to support audits and reporting requirements.
  • General Administrative Support
  • Respond to employee administrative inquiries or direct them to appropriate resources in a timely and professional manner.
  • Collaborate with the HR team to ensure consistent employee data management and record accuracy.
  • Lead or support special projects and administrative initiatives as assigned by the Business Administration Manager

What You Bring

  • At least 3-5 years of administrative or payroll experience; experience in multi-entity operations or healthcare is highly preferred.
  • Proficiency in Gusto, QuickBooks Online, and strongly preferred.
  • Exceptional attention to detail, organizational skills, and accuracy in data management.
  • Excellent communication, collaboration, and time management capabilities.
  • Ability to maintain confidentiality and operate effectively in remote or hybrid work environments.
