About the Role:

The Finance Assistant supports the Finance Department by managing insurance documentation for homeowners and vendors, maintaining accurate records, and assisting with various accounting and administrative tasks. This position plays a key role in ensuring compliance with organizational insurance requirements and supporting financial operations as needed.

Key Responsibilities:

Insurance Management – Homeowners

  • Gather, review, and file all Townhome Certificates of Insurance.
  • Verify that insurance coverage amounts meet reasonable standards and that policy dates are current.
  • Communicate with homeowners to obtain missing or expired insurance documents.
  • Respond to homeowner inquiries regarding general insurance coverage requirements.
  • Maintain an ongoing, organized list of homeowners who have submitted insurance documentation.

Insurance Management – Vendors

  • Collect and file all Vendor Certificates of Insurance.
  • Review vendor insurance certificates to ensure coverage meets the organization's minimum requirements based on the type of service provided.
  • Coordinate with department managers to obtain missing or updated vendor insurance information.
  • Maintain and update a comprehensive list of all vendors, including documentation status.

Finance Department Support

  • Assist with special finance projects as assigned, which may include:
  • Preparing and posting journal entries.
  • Downloading and organizing financial reports.
  • Assisting with homeowner account reviews and reconciliations.
