Specific tasks and service requirements required on a daily basis.

  1. Administer, monitor, and update the database containing documents and artifacts of the project. Extract/generate data and

other reports.

  1. Analyze and validate various documents, ensure accuracy of input, circulate and track signatures, distribute into various ADB

application systems, and maintain and ensure appropriate controls in the preparation of data.

  1. Manage correspondence and documents for the supervisors, compose routine communications independently, review documents

before supervisor approval, and ensure conformity to ADB standards. Attend regular project meetings and create meeting notes.

  1. Take accurate messages and deal with queries from internal/external parties to ensure they are referred in a timely manner to

the concerned staff. Collect, extract, and consolidate data or information in the required format to participate in the preparation

of standard reports, schedules, and summaries.

  1. Administer user access to project-related tools and systems, by filing appropriate requests within ITD, tracking progress and

informing the requestor about established access rights.

  1. Attend to and monitor user requirements by coordinating with various sections of ITD, various departments of ADB, and various

resources in ITD.

  1. Ensure the effective coordination of supervisors' schedules through efficient scheduling across offices and global time zones,

maintaining their calendars and arranging appointments, meetings, travel, and accommodation as specified by the supervisors

and in accordance with ADB procedures. Prioritize and resolve conflicts of competing demands.

  1. Maintains a professional and organized office setup.

  2. Relieves other Information Technology Assistants when they are absent, as required.

  3. Maintain adequate stocks of office supplies as required.

  4. Perform other administrative tasks that may be required.

Education, Work Experience and Soft Skills

  • College graduate.
  • Good typing skills. Good memo composition and editing skills.
  • Demonstrable experience in working across multiple teams and organizing events.
  • Excellent administrative and organizational skills, with attention to details; able to handle numerous responsibilities and

confidential information simultaneously.

  • Ability to create memos and meeting notes in timely and accurate manner.
  • Client-oriented with ability to mediate and resolve conflicts.
  • • Follows through client inquiries, requests, and complaints.
  • • Has strong work ethics, is a good team player, and has the ability to work well with individuals from different cultural/national
  • background.
  • • Highly engaged and motivated, problem-solving mentality.
  • • Possesses knowledge of computer technology, including the ability to use MS Office software packages such as
  • spreadsheets, graphics, word processing, and database management.
  • • Has good time management skills.
  • • Possesses good communication, organizational, and interpersonal skills.
  • • Preferably with experience in data control work.
