We are looking for a highly organised and detail-oriented Virtual Assistant – Admin Support to work with an Australian client. This role is ideal for someone who is proactive, reliable, and experienced in administrative, coordination, and basic bookkeeping tasks.


Key Responsibilities

Work Order & Task Management

• Create and update work orders in the client's system or project management tool

• Book work orders to appropriate team members

• Track progress and follow up on outstanding work orders

• Maintain a digital filing system for completed work orders

• Generate weekly/monthly reports on open and closed work orders

Basic Bookkeeping Support

• Enter supplier bills and match them with receipts or invoices

• Reconcile bank transactions (simple matches only)

• Maintain and update client and supplier contact details

Scheduling & Coordination

• Book client meetings or internal team calls

• Send calendar invites and meeting reminders

• Reschedule appointments and notify all relevant parties

• Prepare meeting agendas or follow-up notes when needed

Client Billing Assistance

• Monitor outstanding client invoices

• Follow up on pending payments professionally


Qualifications


• Experience as a Virtual Assistant or Admin Assistant (AU or international client preferred)

• Strong organisational and time-management skills

• Good communication skills (written and verbal)

• Familiarity with project management tools (e.g., , Asana, Trello – a plus)

• Basic knowledge of bookkeeping or accounting software is an advantage

• Ability to work independently and manage deadlines
