I. JOB SUMMARY

The Finance and Administration Officer is responsible for managing the financial transactions, maintaining accurate records, preparing reports, and ensuring compliance with company policies and government regulations. The role also involves overseeing administrative operations such as employee documentation, procurement, office supplies, and general coordination of daily office activities.


II. DUTIES AND RESPONSIBILITIES

A. Finance

  1. Record and monitor all financial transactions (cash inflow/outflow, sales, and expenses).
  2. Prepare daily, weekly, and monthly financial reports.
  3. Monitor and reconcile petty cash and bank accounts.
  4. Ensure timely remittance of government contributions (SSS, PhilHealth, Pag-IBIG, BIR).
  5. Assist in payroll preparation and salary disbursement.
  6. Maintain and file financial documents, receipts, and invoices.
  7. Support the external accountant in preparing reports and filing taxes.
  8. Ensure financial transparency and proper documentation of all business transactions.

B. Administration

  1. Maintain employee 201 files and other HR-related records.
  2. Handle office supplies requisition and inventory.
  3. Prepare and issue company memos, correspondence, and administrative notices.
  4. Assist in recruitment, onboarding, and attendance monitoring.
  5. Ensure compliance with company policies and operational SOPs.
  6. Coordinate logistics for company meetings, trainings, and other events.
  7. Support management in implementing company rules and procedures.
  8. Maintain confidentiality of company and employee information at all times.

III. QUALIFICATIONS
  • Bachelor's degree in Accounting, Business Administration, or related field.
  • At least 1–2 years of experience in finance, accounting, or administration.
  • Knowledge of basic accounting principles and government compliance.
  • Proficient in MS Excel, Word, and basic accounting software.
  • Strong organizational, communication, and multitasking skills.
  • High level of integrity, accuracy, and confidentiality.

IV. WORKING CONDITIONS
  • Based at the main office (Subic).
  • Regular working hours; may extend during reporting deadlines.
  • Close coordination with HR, operations, and management teams.
