Job Summary

The Customer Service Admin will serve as the primary point of contact for clients, handling inquiries, service requests, and coordination with technicians. This role ensures smooth day-to-day operations by managing customer concerns, scheduling, documentation, and administrative tasks. The ideal candidate is organized, proactive, and able to deliver excellent customer service in a fast-paced technical environment.

Key Responsibilities:

Customer Service

  • Handle inbound and outbound calls, emails, and messages from customers.
  • Respond to inquiries regarding air conditioning services, quotations, service schedules, and job updates.
  • Provide accurate information about services, pricing, timelines, and company policies.
  • Address customer concerns, complaints, or urgent situations professionally and promptly.
  • Maintain a high level of customer satisfaction through empathy and efficient problem-solving.

Scheduling & Coordination

  • Schedule service calls, preventive maintenance, installations, and technician dispatch.
  • Coordinate technician availability and route assignments to ensure timely service.
  • Track service progress and update customers on job status.
  • Ensure all job orders are complete, accurate, and properly documented.

Administrative & Documentation

  • Prepare job orders, service reports, and quotations as needed.
  • Maintain organized digital and physical records of clients, contracts, warranties, and service history.
  • Monitor and update the CRM or service management system.
  • Process billing coordination support such as sending invoices or assisting in payment tracking.
  • Assist with inventory-related documentation such as spare parts usage reports (if applicable).

Operations Support

  • Work closely with the Operations, Technical, and Sales teams to ensure smooth workflow.
  • Escalate technical concerns or major issues to the appropriate department.
  • Prepare daily, weekly, or monthly reports as required.

Qualifications

  • Bachelor's degree in Business Administration, Office Administration, or related field (preferred).
  • At least 1–2 years of experience in customer service, administrative roles, or service coordination.
  • Experience in HVAC / air conditioning industry is an advantage.
  • Strong communication skills (verbal and written).
  • Proficient in MS Office (Word, Excel, Outlook) and CRM tools.
  • Organized, detail-oriented, and able to manage multiple tasks simultaneously.
  • Ability to remain calm and professional in handling customer concerns.
  • Willing to work flexible schedules depending on client and operational needs.
  • Must be willing to work Monday to Saturday.
