Service Admin

The Service Admin ensures administrative and operational accuracy in service execution by managing service job orders, warranty validations, billing, ASC coordination, and compliance documentation. This role supports back-end efficiency while helping ensure customer satisfaction and operational readiness.
Daily
- Validate warranty, encode service requests
- Process billing and invoice requests
- Coordinate with technicians and ASC on job order status
Weekly
- Track and summarize service metrics (TAT, FTFR) thru Sales force
- Reconcile ASC reports and prepare reimbursement files
- Follow-up on pending payments or approvals
- Proper handling of Revolving Fund and Petty Cash.
- On time submission of Liquidation and Reimbursement document to accounting
Monthly
- File and archive service documentation for audit
- Submit internal KPI reports and support Finance/QA reviews
Quarterly
- Support audit preparations and compliance checks
- Recommend process improvements
Annually
- Assist in service process reviews and documentation cleanup
- Recommend efficiency improvements based on service and audit trends
Qualifications
- College graduate in Business Administration, Accounting, or a related course
- 1–3 years in service admin, billing, or warranty support
- Reliable, organized, and process-driven
- Comfortable using basic reporting tools (e.g. Excel, shared folders)
- Able to collaborate across teams while meeting deadlines
