Position Summary
The Executive Assistant serves as a trusted strategic partner, ensuring the executive's time, focus, and decision-making capacity are optimized. This role goes beyond traditional administrative tasks — it requires the ability to anticipate needs, make sound decisions with minimal guidance, and facilitate the smooth execution of high-level priorities.
The EA acts as the executive's right hand, managing critical information flow, enabling strategic initiatives, and maintaining strong relationships with board members, senior leadership, and external partners.
Key Responsibilities:
1. Strategic Time & Priority Management
- Own and manage the executive's complex calendar, ensuring alignment with organizational goals.
- Anticipate scheduling needs, proactively resolving conflicts and reallocating priorities.
- Prepare the executive for upcoming engagements with briefing materials, key talking points, and relevant background.
Executive Communication & Representation
- Serve as the first point of contact for high-level inquiries, representing the executive with professionalism and authority.
- Draft, refine, and proofread correspondence, reports, and presentations with an executive-level tone and precision.
- Maintain and strengthen relationships with stakeholders, including board members, investors, and senior leaders.
Meeting & Decision Support
- Coordinate and prepare leadership and board meetings, ensuring agendas are strategic and outcomes are actionable.
- Capture critical discussions and track follow-ups to guarantee execution.
- Provide insights and recommendations to assist in informed decision-making.
Confidentiality & Judgment
- Handle sensitive information with absolute discretion and integrity.
- Act with delegated authority on select matters, making decisions in alignment with the executive's vision and the company's objectives.
Project & Initiative Coordination
- Partner with the executive on special projects, ensuring milestones, deliverables, and cross-functional coordination are achieved.
- Monitor progress and escalate risks or issues with proposed solutions.
Travel & Itinerary Management
- Plan and manage complex domestic and international travel arrangements.
- Ensure seamless transitions between travel, meetings, and work commitments, including contingency planning for changes.
Qualifications
Education & Experience
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- At least 7 years of progressive administrative experience, with a minimum of 4 years directly supporting C-suite executives or board members.
- Background in US company, professional services, or high-growth organizations highly preferred.

- Exceptional organizational and time management skills with the ability to manage shifting priorities.
- Executive-level written and verbal communication skills.
- High emotional intelligence, diplomacy, adaptability, excellent problem solver.
- Experience supporting more than one stakeholder.
- Strong problem-solving abilities with the capacity to act independently and decisively.
- Advanced proficiency in Microsoft Office Suite and virtual collaboration tools (Teams, Zoom, Google Workspace) and utilization of AI on their daily tasks
