Accounts Payable Officer

The Accounts Payable Officer is responsible for ensuring the accurate and timely processing of supplier invoices, expense claims, and payments. This role plays a key part in maintaining strong vendor relationships, supporting financial controls, and contributing to the overall efficiency of the finance department.

Responsibilities – How will you do this?

Invoice Processing

• Receive, verify, and process supplier invoices in accordance with company policies.
• Match invoices to purchase orders and delivery receipts and have an understanding of the underlying contracts and agreements.
• Ensure proper coding to the ERP and approval of invoices before posting.

Payments & Disbursements

• Prepare payment modes and documentation.
• Monitor payment schedules, be aware of extended credit terms, and ensure timely disbursements.
• Resolve payment discrepancies and respond to vendor inquiries.

Expense Management

• Review and process employee expense claims and reimbursements and petty cash management.
• Assist in reconciling corporate credit card transactions.

Reconciliation & Reporting

• Assist in month-end closing activities and accruals.
• Generate reports on AP aging, payment status, and vendor balances and assist in cash flow forecasting

Documentation & Compliance

• Maintain accurate and organized records of invoices, payments, and correspondence, along with AP GL maintenance
• Support internal and external audits by providing necessary documentation.
• Issue withholding tax related documents
• Custodian of all issued checks for pick-up

Vendor Relations

• Communicate with vendors regarding payment status, disputes, and account updates.
• Assist in maintaining vendor data and documentation

To be successful, you'll need

• Bachelor's Degree in Finance, Business, Data analytics, or related field
• Minimum of 2 years of experience in account payable or general accounting
• Proficiency in accounting software and ERP systems (SAP, Oracle, etc.) a plus
• Excellent communication and problem-solving skills
• Be an Ideal Team Player
