About the Client:

The client is a Las Vegas–based cartage agent and trucking company specializing in local pickup and delivery services. Our team provides dependable, high-quality logistics support to our clients and partners. We are seeking a highly organized and detail-oriented Operations Coordinator (Virtual Assistant) to join our growing operations team. This role will provide critical administrative and operational support to ensure smooth day-to-day execution of logistics activities.

About the Role:

The Operations Coordinator will assist with the daily operational and administrative functions of the business, including managing email communications, preparing rate quotes, entering shipment data, and coordinating with clients and vendors. The ideal candidate is proactive, responsive, and familiar with transportation or freight logistics operations. This is a remote position supporting our Las Vegas–based operation.

Key Responsibilities

  • Monitor and manage daily inbound and outbound email communications.
  • Respond promptly and professionally to customer inquiries and quote requests.
  • Prepare and send rate quotes for local pickups and deliveries.
  • Perform accurate data entry of shipment charges, freight details, and billing information.
  • Maintain up-to-date records of shipments, rate sheets, and client communications.
  • Coordinate with internal teams and external partners to ensure timely delivery and customer satisfaction.
  • Support the development of Standard Operating Procedures (SOPs) and documentation for internal processes.
  • Participate in regular virtual meetings, check-ins, and reporting sessions with management.
  • Utilize logistics and productivity tools (e.g., Hubstaff, Google Workspace, spreadsheets, email platforms) for tracking and task management.

Qualifications & Skills

  • Experience: Minimum 1–2 years of experience in administrative, operations, or logistics support roles. Experience in the trucking or freight industry is strongly preferred.

  • Technical Skills:
    Proficiency in email management, spreadsheets, and data entry. Familiarity with logistics software, dispatch tools, or rate quoting platforms is an asset.

  • Communication Skills: Fluent written and verbal English communication skills with attention to detail and professionalism.

  • Organizational Skills: Strong ability to prioritize tasks, manage multiple requests, and maintain accurate documentation.

  • Remote Readiness: Reliable internet connection, computer setup, and comfort with virtual collaboration and time-tracking tools (e.g., Hubstaff).

  • Attitude: Proactive, dependable, and willing to learn logistics terminology and procedures.
