Job description

Job Scope:

Responsible for managing and supervising the company's general administrative functions, including office and facilities operations, permits and licenses, contract and property administration, vehicle fleet management, travel and logistical arrangements, event coordination, and support for corporate social responsibility (CSR) initiatives.

The role ensures operational readiness, regulatory compliance, cost-efficiency, and

excellent internal support services.

Duties and Responsibilities:

General Administrative Operations

  • Oversees daily administrative operations to ensure uninterrupted support to all departments across offices, farms, and facilities.
  • Supervises admin staff including utility personnel, messengers, drivers, and outsourced services such as janitorial and security.
  • Implements and improves administrative systems, documentation processes, and internal service protocols.

Permits and Licenses Management

  • Maintains an updated tracker of all permits, licenses, and certificates required for business operations.
  • Processes and ensure timely renewal of business permits, BIR certificates, barangay clearances, fire safety permits, DENR licenses, and other regulatory documents.
  • Liaises with government agencies and ensures compliance to avoid penalties or legal risks.

Contracts Monitoring and Compliance

  • Monitors all contracts under the admin department including office/farm leases, service agreements, and supplier partnerships.
  • Tracks expiration dates, renewal options, deliverables, and payment schedules.
  • Coordinates with the legal team for contract drafting, review, and compliance matters.

Land, Property, and Asset Administration

  • Maintains accurate records of company-owned or leased land and buildings, including titles, tax declarations, lease contracts, and improvements.
  • Ensures timely payment of real property taxes (RPT) and land use compliance.
  • Monitors occupancy, usage, and physical security of assets and premises.

Facilities Maintenance and Beautification

  • Ensures cleanliness, orderliness, and functionality of all company buildings, staff houses, and guest facilities.
  • Plans and implements building and grounds maintenance schedules (e.g., electrical, plumbing, air-conditioning).
  • Supervises beautification efforts including landscaping, repainting, signage, and workspace improvements.

Utilities and Office Supply Management

  • Monitors the availability of electricity, water, internet, and communication services; coordinate with providers to resolve disruptions.
  • Ensures adequate inventory and cost-efficient procurement of office supplies, sanitation materials, and administrative equipment.

Travel and Logistics Coordination

  • Oversees the booking and management of air travel, accommodations, and land transportation for employees and guests.
  • Coordinates itineraries, ground logistics, and transportation support for official trips and inter-office visits.
  • Provides logistical support for VIP guests, clients, partners, and

consultants during company visits.

Event Coordination and Internal Engagements

  • Provides administrative support for internal events such as meetings, trainings, planning sessions, celebrations, and team-building activities.
  • Coordinates with suppliers, venues, and internal teams to ensure the success of company events.
  • Prepares logistics, supplies, documentation, and facilities for smooth event execution.

Corporate Social Responsibility (CSR) Support

  • Coordinates administrative and logistical requirements for company-led CSR activities such as outreach programs, community engagement, and environmental initiatives.
  • Supports documentation and reporting of CSR project results and stakeholder participation.

Fleet Management

  • Manages the scheduling, assignment, and dispatching of company vehicles to support daily operations and logistics.
  • Monitors and enforces preventive maintenance schedules, coordinate repairs, and ensure vehicle availability.
  • Maintains updated vehicle records (OR/CR, registration, insurance), track fuel usage, and analyze fleet performance.
  • Responses promptly to road incidents, accidents, and ensure proper incident

Qualification

  • Bachelor's degree in Business Administration, Office Management, Logistics, or any related field.
  • A Master's degree or additional certification in administration, facilities

management, or procurement is an advantage.

  • At least 3-5 years of experience in administrative operations and fleet management, ideally within the agriculture, logistics, or corporate sector.

Job Types: Full-time, Permanent

Pay: Php20, Php25,000.00 per month
