  • Communicate effectively and empathetically with Spanish-speaking clients via phone, email, and video conferencing.
  • Schedule initial consultations and follow-up appointments for new and existing clients or their attorneys.
  • Coordinate and arrange translator services for clients
  • Provide direct Spanish/English translation during communications when necessary and appropriate.
  • Assist clients in accurately completing intake forms, treatment authorizations, and other necessary paperwork.
  • Prepare, manage, and track attorney liens, ensuring timely completion and obtaining necessary signatures from both attorneys and clients.
  • Proactively follow up with clients regarding treatment recommendations and appointment adherence.
  • Assist attorneys in coordinating outside referrals for clients (e.g., medical specialists).
  • Maintain organized, accurate, and up-to-date digital case files.
  • Perform other related administrative and case support duties as assigned.
  • Assist the manager in all areas of the PI Department and run the department during her absences.

Qualifications:

  • Demonstrates a high level of professionalism when interacting with patients and attorneys, maintaining confidential and respectful communication at all times.
  • Proven ability to work efficiently under pressure in a fast-paced environment, delivering accurate, timely responses to inquiries from patients and law offices.
  • Exceptional responsiveness in returning phone calls and emails, with a strong sense of urgency to move processes forward (e.g., scheduling, authorizations, and document updates).
  • Strong problem-solving skills with a demonstrated track record of quickly identifying solutions to scheduling, authorization, and administrative challenges.
  • Experience coordinating with multiple stakeholders (patients, attorneys, translators) to ensure smooth, timely workflow.
  • Meticulous organizational skills with the ability to maintain and update trackers, documents, and case files consistently and accurately.
  • Proactive communicator who keeps relevant parties informed of status, next steps, and any delays.
  • Ability to manage competing priorities and maintain accountability for meeting deadlines and service level expectations.
  • Familiarity with personal injury or medical-legal processes is a plus; willingness to learn and adapt to department-specific systems and protocols.
