Quick Rundown:

We are looking for a highly organized and proactive Executive Assistant to support the owner of a property management company. The ideal candidate will handle administrative tasks, coordinate property operations, support client and tenant communications, and help keep the business running smoothly.

What You'll Do:

Executive Support & Administration

Manage the owner's calendar, appointments, and travel schedules.

Handle email correspondence and draft professional communications.

Prepare reports, summaries, and presentations related to business operations.

Maintain confidential records, contracts, lease agreements, and other documents.

Coordinate meetings, property inspections, and site visits.

Property Operations Support

Assist in managing property management software and online portals.

Track rent payments, lease renewals, and maintenance schedules.

Coordinate with contractors, vendors, and service providers for property upkeep.

Schedule and support property viewings, inspections, and open houses.

Client & Tenant Relations

Serve as a point of contact for property owners, tenants, and partners.

Respond to tenant inquiries and facilitate communication between owners and tenants.

Support onboarding of new tenants and lease agreement processes.

Business & Financial Support

Assist with invoicing, budgeting, and basic financial reporting.

Help monitor key performance metrics such as occupancy rates and revenue.

Conduct basic market research on rental trends and competitor properties.

What We're Looking For:

2+ years of experience as an Executive Assistant, preferably supporting business owners or small businesses.

Strong organizational, multitasking, and time management skills.

Excellent written and verbal communication skills.

Proficient in Microsoft Office, Google Suite, and familiar with property management software.

Comfortable handling confidential documents, financial records, and client communications.

Ability to adapt to a fast-paced environment.

Knowledge of real estate or property management is a plus.
