This is a remote position.

We are seeking an organized, detail-oriented, and proactive Administrative Assistant. The successful candidate will provide comprehensive administrative and clerical support in our team. The ideal candidate will have strong multitasking abilities, excellent communication skills, and a proven experience in providing administrative support.

Key Responsibilities:

  1. Office & Project Support:

� Provide administrative support including scheduling meetings, managing calendars, and assisting with correspondence.

� Prepare, organize, and maintain project documentation

� Maintain and update project files, ensuring that all documentation is up-to-date and accessible to relevant teams.

� Preparation of invoices and monthly fee agreements

� Assistance with setting of corporate entities

� Corresponding with the ATO

� Monitoring jobs flow

� Management of ATO compliance documents

� Preparation of client correspondences

� Maintaining timesheets and WIP management

� Assistance with Entity establishments.

� Assistance with creating industry fund accounts and consolidating super

� Preparing tax authorities and client engagement letters via Adobe sign

� Business names applications

� Assistance with creating share trading accounts

  1. Document Management & Compliance:

� Track and file necessary documents to ensure compliance with regulatory requirements.

� Maintain accurate records of project and other critical documents.

� Ensure the proper handling and storage of confidential project-related information.

  1. General Administrative Duties:

� Maintain office equipment and supplies, ensuring that all office-related functions run smoothly and efficiently.

� Assist with scheduling and organizing internal and external meetings, including arranging travel and accommodation for staff and clients.

� Prepare reports, presentations, and other documents as requested.

� Support ad-hoc administrative tasks and special projects as needed.

Requirements

Qualifications:

� At least 4 years experience as AU Admin Assistant

� Administrative support experience

� AU Accounting experience is required.

� Excellent communication skills, both written and verbal

� Ability to work independently and collaboratively within a team

� Discretion and confidentiality when handling sensitive information
