
Property Management Supervisor

Job Purpose
This role reports to the Property Management Manager and is responsible for supervising day-to-day operations, ensuring smooth and efficient project execution and data management. This includes overseeing move-ins and turnovers, coordinating house improvements, managing property data for marketing and operational purposes, addressing client concerns promptly, and reviewing and verifying architectural and engineering plans. Additionally, the role involves conducting house inspections and managing necessary repairs to maintain property standards. By working closely with maintenance teams, contractors, and clients, this position aims to minimize delays, prevent on-site issues, and deliver a positive and seamless experience for all stakeholders.
The incumbent supervises the property and maintenance teams, ensuring they deliver high- quality service and maintain exceptional standards. Key responsibilities include directly overseeing the team's performance in critical areas such as dues collection, water billing, and HOA fee management, collaborating with team members to ensure accurate and up-to- date site funds for sustained financial health and operational efficiency.
Duties and Responsibilities
1. Property Management:
1.1 Plans and coordinates with concerned stakeholders to streamline on-site transaction processes, minimizing delays and ensuring smooth and efficient operations that enhance customer satisfaction and minimize potential disruptions to business activities.
1.2 Cultivate and maintain strong, collaborative relationships with clients and Local Government Units (LGUs) through proactive communication and engagement, resulting in mutually beneficial partnerships and successful project implementations.
1.3 Develop and implement comprehensive customer service strategies and programs to ensure exceptional service delivery to all clients and stakeholders. This involves collaborating with cross-functional teams to identify and address customer needs, enhance customer satisfaction, build strong client relationships, and ultimately drive customer loyalty and business growth.
1.4 Oversees and schedules regular maintenance and repairs for all houses and amenities within the community, collaborating with relevant contractors and service providers to ensure timely and efficient completion of work, resulting in well-maintained properties and enhanced resident satisfaction.
1.5 Oversee the timely and accurate collection of all homeowner dues and fees,
collaborating with the finance department and property management team to ensure efficient billing processes and maintain accurate financial records for each site, ultimately contributing to the financial stability and operational efficiency.
1.6 Directly oversee the provision of landscaping, cleaning, and other property maintenance services to ensure properties are maintained in optimal condition. This involves collaborating with service providers and internal teams to coordinate schedules, monitor service quality, and ensure timely completion of all maintenance tasks, resulting in well-maintained properties that enhance resident satisfaction and property value.
1.7 Examine and Review architectural blueprints and engineering drawings to ensure that the designs align with building codes, regulations, and property requirements. It also includes coordinating with architects, engineers, and contractors to confirm that plans are feasible, compliant, and aligned with the property's overall goals. Additionally, it involves checking for any inconsistencies or errors in the plans that could impact construction or renovation projects, and recommending necessary adjustments before work begins.
1.8 Visits and inspects units that are undergoing renovation to ensure that work is progressing as planned. The purpose of these inspections is to verify that the renovations align with the approved architectural and engineering plans, including structural changes, finishes, and any updates to utilities or systems. It also includes identifying any potential issues or discrepancies, and communicate these to the relevant parties, such as the contractor or property owner. If discrepancies are found, corrective actions may be necessary to ensure that the renovations meet the desired and approved designs before work progresses further.
2. Team Leadership:
2.1 Provides guidance and direction to property assistants, including the maintenance team, to ensure the efficient and effective execution of property management tasks, resulting in improved operational efficiency and enhanced resident satisfaction.
2.2 Guide and support team members in delivering exceptional customer service that consistently receives positive feedback from clients
2.3 Cultivate a positive and productive team environment by fostering open communication, building strong relationships with team members, and providing regular and constructive feedback, resulting in increased employee engagement, improved morale, and enhanced team performance.
2.4 Regularly monitors team performance, provides constructive feedback to individual team members, and collaborates with them to identify and address areas for improvement, ultimately enhancing individual and team performance and contributing to overall team success.
Job Requirements:
Bachelor's Degree in Engineering: An engineering graduate (such as a degree in Civil Engineering, Mechanical Engineering, Electrical Engineering, or Structural Engineering).
Understanding of Building Codes and Safety Regulations
Minimum of 5 years of experience in the real estate or property development industry.
Experience in handling a team and collaborating with cross-functional teams.
Demonstrates strong customer service skills
