Job Overview
The Procurement Assistant supports the operational activities of the Procurement team by assisting Procurement Executives in the end-to-end sourcing, contracting, and vendor management processes. The role contributes to the company's objectives by ensuring the timely and cost-effective acquisition of materials, goods, and services while upholding procurement policies, ethical standards, and compliance requirements. This position is intended to support ongoing procurement requirements for a specific project period or scope.
Duties and Responsibilities
Sourcing & Procurement Support
- Assist in sourcing activities, including canvassing suppliers, gathering quotations, and preparing bid summaries.
- Support Procurement Executives in facilitating purchase requisitions and ensuring completeness of documentation.
- Coordinate with user departments for technical specifications and procurement timelines.
- Participate in basic vendor negotiations under the guidance of Procurement Executives.
Tender and Contracting Process
- Help prepare and issue Requests for Quotation (RFQ), Requests for Proposal (RFP), and other tender documents.
- Assist in tender opening, documentation, evaluation, and preliminary vendor assessment.
- Support the preparation of contract drafts and monitor contract approval routing.
Vendor Management & Compliance
- Supports the vendor database management, onboarding new suppliers, and supplier documentation gathering (e.g., BIR forms, company profile).
- Assist in resolving billing or invoice issues with vendors.
Administrative and Reporting Tasks
- Ensure proper filing and recordkeeping of procurement-related documents, both in hard copy and electronic systems.
- Encode data into ERP or procurement tracking systems as needed.
Qualifications
- Bachelors degree in Business Administration, or a related field.
- At least 1-3 years of relevant experience in procurement, or administrative support roles.
- Proficient in Microsoft Office tools (Excel, Word, PowerPoint).
- Familiarity with procurement systems or ERPs is a plus.
- Strong organizational skills and keen attention to detail.
- Good communication and coordination skills.
- High ethical standards and a commitment to compliance.
