CMMS/ERP Data Entry Specialist

We are seeking a Parts Encoder to manage the critical function of data entry and system maintenance within our inventory and parts management systems. This role is fundamental to maintaining the accuracy of our parts database, ensuring that all inventory-related transactions are correctly and promptly reflected in the system. The Parts Encoder is responsible for converting physical or paper-based parts documentation into accurate digital records and must ensure high levels of data integrity by performing meticulous verification and quality checks on all encoded information. Ultimately, the Parts Encoder's accuracy is vital for reliable reporting, efficient warehouse operations, and ensuring that Parts Coordinators and Technicians have the correct information on hand and stock levels to support daily activities.

Requirements:

• Is a Graduate of a 2-year associate program
• Has a minimum of at least one (1) year work experience.
• Certification for Telephone Excellence Training is a must.
• Accurately and efficiently input a high volume of parts-related data into the CMMS/ERP system, including new parts setup, vendor information, receipt details, issue transactions, and stock adjustments.
• Compare encoded data against original source documents to identify and correct discrepancies or errors before final posting.
• Organize, compile, and maintain a systematic archive of source documents (both digital and physical) related to parts transactions for easy retrieval and auditing purposes.
• Assist in running basic data checks or reports to identify common data inconsistencies (e.g., duplicate entries, missing fields) and perform routine clean-up to maintain system health.
• Collaborate with Parts Coordinators and Warehouse staff to clarify documentation, resolve simple encoding errors, and ensure timely completion of data entry to support operational workflows.

Key Responsibilities:

• Accurately and efficiently input a high volume of parts-related data into the CMMS/ERP system (including SAP), covering new parts setup, vendor information, receipt details, issue transactions, and stock adjustments.
• Compare encoded data against original source documents to identify and correct discrepancies or errors before final posting to maintain data integrity.
• Organize, compile, and maintain a systematic archive of source documents (both digital and physical) related to parts transactions for easy retrieval and auditing purposes.
• Process and update critical inventory reports, including MRI (Master Reference Index) data across all specified cities (including Aftersales and Rentals), handling approved cancellations and necessary part number/pricing adjustments.
• Monitor MRI pricing and related systems to ensure consistency for the GI Report and transmit necessary reports to the Service Department and SPI.
• Collaborate with Parts Coordinators and Warehouse staff to clarify documentation, resolve simple encoding errors, and generate incident reports for any discrepancies or non-conformances.
• Perform other data entry and administrative tasks as assigned by the immediate supervisor.
