Job Details:
Work Onsite | Bridgetowne, Quezon City
Monday to Friday | 9 AM to 6PM (Manila Time)

Responsibilities:
The Payroll Project Coordinator is responsible for validating, organizing, and submitting accurate payroll data for internal crews. They ensure that timesheets, job details, and Smartsheet entries are aligned, referencing paper timecards against digital submissions, and uploading verified data into Oracle OFS.

In addition, you will:

  • Review daily Smartsheet timesheet submissions for accuracy
  • Cross-reference paper timecards with Smartsheet production forms to confirm consistency
  • Validate against SR numbers, job numbers, and work performed
  • Communicate directly with Construction Supervisors and Managers to clarify missing or inaccurate entries
  • Ensure redlines and documentation match timesheet hours and job details
  • Submit finalized payroll for approval in alignment with payroll cycles
  • Upload verified payroll data into Oracle OFS system
  • Coordinate directly with Ops Support if escalated issues arise (via Sr. CM)
  • Maintain timesheet tracking tools and assist in auditing weekly totals
  • Help ensure all labor is properly coded and submitted by deadlines
  • Flag duplicate or conflicting submissions before they reach approval

Workflow Integration

  • Final internal checkpoint before payroll is submitted
  • Verifies alignment between field work, redlines, and approved documentation
  • Uploads all validated time into Oracle OFS
  • Supports Construction Managers and CSs in weekly payroll readiness

Success Metrics

  • 100% timely and accurate payroll submissions
  • Reduced payroll rework or rejected entries
  • High alignment between redlines, production, and time data
  • Clean Oracle uploads and labor coding
  • Strong communication with field and leadership

Daily Routine:

  • Review and validate Smartsheet timesheets daily
  • Cross-reference paper timecards and job details with Smartsheet production entries
  • Ensure alignment between time entries, redlines, and SR/job numbers
  • Upload finalized payroll data into Oracle OFS
  • Coordinate with Construction Supervisors and Managers for missing or incorrect data
  • Maintain internal payroll tracking tools and assist with weekly auditing
  • Communicate issues through Teams and Outlook; assist Ops Support as needed
