Job Title: Executive Assistant

Department: Executive Office & Import

Reports to: President & Vice President

Job Overview

We are seeking a highly skilled Executive Assistant to provide comprehensive support to the President and Vice President. The ideal candidate is a proactive problem-solver with exceptional communication skills, strong organizational abilities, and meticulous attention to detail. This role requires flexibility, foresight, and the ability to handle confidential information with discretion, while ensuring seamless coordination of executive functions, office operations, and administrative processes.

Key Responsibilities

Executive & Administrative Support

  • Serve as the primary point of contact among executives, employees, clients, and external partners.
  • Manage executive calendars, schedules, travel arrangements, and information flow in a timely and accurate manner.
  • Coordinate meetings, prepare agendas, take minutes, and ensure follow-up on action items.
  • Draft, review, and prepare reports, presentations, and correspondence for executives and board members.

Project & Data Management

  • Conduct research and compile data for executive decision-making.
  • Prepare and manage materials for board and committee reviews.
  • Track projects and deadlines to ensure timely completion.
  • Utilize advanced Microsoft Excel (pivot tables, formulas, data analysis) for reporting and performance tracking.
  • Use Microsoft Office Suite and ERP/business management systems (SAP or equivalent) for documentation and reporting.

Office & General Administration

  • Oversee the smooth day-to-day operations of the office.
  • Handle general administrative tasks such as supply management, vendor coordination, and office maintenance requests.
  • Provide guidance to clerical and support staff to ensure efficient office operations.
  • Assist in implementing office policies and procedures to improve productivity and workflow.

HR Support

  • Assist HR in recruitment coordination, employee records management, and onboarding processes.
  • Schedule interviews, maintain personnel files, and handle confidential employee information.
  • Help monitor attendance and performance records in coordination with HR staff.
  • Support employee engagement activities and company events.

Other Duties

  • Take on special projects and initiatives as assigned, contributing to company-wide success.

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field.
  • Minimum of 3–4 years of experience as an Executive Assistant or in a similar role.
  • Strong proficiency in Microsoft Excel and the full Microsoft Office Suite.
  • Experience with ERP/business management systems (SAP or equivalent) is an advantage.
  • Excellent time management and prioritization skills.
  • Strong interpersonal skills, professionalism, and the ability to work with minimal supervision.
  • Must be willing to work on-site in Las Piñas City.
  • Proficiency in English and Tagalog.

Pay: Php25, Php30,000.00 per month
