We are looking for a detail-oriented and proactive Billing Operations Associate to support core billing activities. In this role, you will process incoming sales orders and handle billing-related customer inquiries via a shared email inbox. The ideal candidate is organized, responsive, and possesses strong communication and data entry skills.

As a Billing Operations Associate, you'll report to the Billing Operations Manager and contribute significantly to our dynamic and rapidly expanding team.

What you'll do as a Senior Billing Operations Analyst at Vanta:

● Process sales orders in the billing or ERP system (e.g., NetSuite) in accordance with standard procedures and timelines

● Monitor the shared billing email inbox and respond to customer inquiries within defined service level agreements (SLAs)

● Review and respond to requests such as invoice copies, billing corrections, credit/rebill requests, and general billing inquiries

● Collaborate with teams including Sales, Customer Support, and Finance to resolve billing-related issues

● Log, track, and update the status of billing inquiries and resolutions to ensure visibility and follow-up

● Maintain accurate and complete documentation of billing transactions and communications

● Escalate complex or urgent issues to senior team members or management as appropriate

How to be successful in this role:

● 1–2 years of experience in billing, order processing, customer service, or a related administrative function

● Familiarity with CRM or ERP systems such as Salesforce and NetSuite

● Strong written and verbal communication skills in English

● Proficiency in email communication and shared inbox tools (e.g., Gmail, Zendesk, Intercom)

● Excellent attention to detail and ability to follow established procedures consistently

● Basic Excel or Google Sheets skills for tracking and reporting tasks

● Minimum of 25 mbps download and 5mbps upload ($50/month reimbursement) - Use -screenshot including the date and time
