About the Role

London Outsourced is a boutique contracting agency focused on connecting our clients in America, Europe, and Asia with highly talented individuals, with a team size of around 20-30 employees based all over the Philippines.

Right now, we are looking for a highly organized and proactive Finance & Admin Specialist to join our growing team. This role plays a critical part in keeping our finances organized across multiple companies and projects. The ideal candidate has a strong grasp of financial tracking, is comfortable working in spreadsheets and finance tools, and can coordinate closely with external accountants and internal teams to keep operations running smoothly.

You will not be responsible for filing government paperwork yourself but will ensure deadlines and compliance requirements are met by working closely with accountants, bookkeepers, and legal consultants. Your core focus will be on supporting budget management, tracking project revenue and expenses, and improving financial visibility for the leadership team.

Key Responsibilities:

Finance Operations & Budgeting

  • Assist in preparing and monitoring monthly and quarterly budgets across teams and business units
  • Track project-based revenues and expenses, flagging any overages or missed targets
  • Maintain accurate records of financial transactions, invoices, and receipts
  • Coordinate disbursement schedules and payment tracking for vendors, suppliers, and partners

Revenue Monitoring & Financial Insights

  • Maintain trackers to monitor client payments, sales performance, and recurring revenue
  • Provide basic financial summaries or dashboards to help leadership make informed decisions
  • Identify trends in cost or revenue performance and raise opportunities for improvement
  • Coordinate with sales or operations to verify projections and actual earnings

Administrative Coordination

  • Work closely with our accountants to ensure timely payroll, tax, and compliance submissions
  • Organize supporting documents for regulatory filings (BIR, SEC, permits), but not file them directly
  • Maintain up-to-date Google Drive folders with financial, billing, and reporting documents
  • Manage invoice templates, receipt logs, and documentation required for bookkeeping

Systems & Tools

  • Use tools like Google Sheets, Xero, or QuickBooks to manage day-to-day financial records
  • Support improvements to automation and reporting workflows using tools like Zapier or internal trackers
  • Help document internal SOPs and systems for finance and admin operations

Qualifications
  • 2–3 years of experience in a finance, admin, or accounting support role
  • Strong knowledge of basic finance operations such as invoicing, tracking expenses, and budget management
  • Excellent skills in Google Sheets or Excel (pivot tables, formulas, data tracking)
  • Familiarity with online accounting tools like Xero, QuickBooks, or Wave (preferred but not required)
  • Comfortable working across multiple businesses or teams in a remote setup
  • Strong organizational and communication skills
  • Proactive, self-managed, and detail-oriented

Preferred Experience
  • Experience working in a startup, agency, or fast-paced multi-entity environment
  • Familiarity with Philippine payroll or tax processes (with support from external accountants)
  • Exposure to financial reporting or forecasting tools
  • Experience supporting founders or department heads with budget or sales tracking

Growth Opportunities
