IT Systems Manager

1. Software Systems Oversight:
Manage and enhance all enterprise software platforms including HRIS, Accounting System, Vision PLM, NextGen among others, including internal Power BI and other information system dashboards.
Regularly evaluate current platforms and lead initiatives to improve or replace systems for better performance and scalability, including the company website and the abovementioned.
Ensure seamless integration of new tools and technologies across departments and regions.
2. Implementation of AI, Automation and Emerging Technologies:
Stay abreast of current and emerging AI tools and trends.
Lead the evaluation and implementation of AI-driven solutions and IT Automation Projects to improve operational efficiency, data analysis, and decision-making.
Serve as an internal consultant & trainer on AI tools & their practical applications across business functions.
3. Governance and Data Security:
Develop & enforce global data policies, workflows, standard forms, and Standard Operating Procedures (SOPs) to prevent abuse & misuse of company-owned hardware or licensed software, data breaches & loss.
Implement and monitor data cybersecurity protocols, including access control, encryption, and compliance with data privacy regulations.
Oversee data lifecycle management including collection, storage, integration, cleansing, archiving, and visualization, including the company SharePoint and Microsoft365 applications.
4. Project and Operations Management:
Lead cross-functional IT projects from planning to execution, ensuring alignment with business goals and timelines.
Collaborate with department heads to identify technology needs and deliver tailored solutions.
Maintain a roadmap of IT initiatives and provide regular updates to executive leadership.
5. Training and Change Management:
Design and deliver training programs for internal teams on AI and IT systems, tools, and best practices.
Support user adoption through documentation, workshops, and one-on-one coaching.
Champion staff development by enhancing the AI and IT capabilities of the System Administrator, and all other company employees.
Foster a culture of continuous learning and digital literacy across the organization, including releasing IT newsletters and other initiatives.
6. Internal Collaboration and Leadership:
Work closely with the System Administrator to ensure a cohesive IT strategy that covers both hardware and software domains and ensure availability of such tools for all employees including new recruits.
Act as a key advisor to the executive leadership on IT investments, risk mitigation, and innovation.
Coordinate with global teams to ensure consistent IT practices and standards.
7. External Collaboration:
Develop positive working relationship with the U.S. 3rd party IT-services provider, regional IT (hardware, phone & internet) providers, and platform developers.
Efficiently escalate IT-related concerns externally as needed and ensure resolution within a reasonable timeframe or as stipulated in SLAs (service level agreements).
Coordinate the timely sourcing, purchasing, and installation of both IT hardware and software.
8. Reporting & Documentation
Maintain proper documentation of all IT-related contracts, warranties, SLAs, etc.
Document all IT-related matters, including project initiatives, SOPs, training records, CAPEX, liability forms, data privacy confidentiality agreements, among others.
Generate reports & provide timely updates to the executive leadership to support data-driven decision-making on all IT-related matters.
9. Process Analysis & Continuous Improvement
Support company initiatives in Process Analysis & Continuous Improvement for its various departments.
Conduct reviews of current IT-related processes and applications to find ways to reduce lead-time, decrease or eliminate mistakes, and introduce more efficient workflows.
Collaborate with cross-functional teams to standardize best practices and ensure compliance with quality standards.
10. Self-Development:
10.1 Identify and act in developing the required knowledge, skills and attitude (KSA) necessary in the performance of this job as well as to further career development.
10.2 Regularly seek feedback from immediate supervisor and colleagues to improve performance and skills.
10.3 Manage your own time to accommodate self-development activities.
11. Additional Duties:
11.1 Comply with the requirements and tasks for all employees in relation to Occupational Safety and Health (OSH), Security, and Environmental, Social and Governance (ESG) Policies.
11.2 Participate in employee engagement activities & process improvement initiatives.
11.3 Perform other related tasks and responsibilities as may be assigned from time to time.
