Job Description
This position will handle and filter incoming calls. Assist customer service to filter and properly attend the client's inquiries, complaints and concern in order to ensure that municipal services are provided in an effective and efficient manner.
- Receive, direct, relay telephone messages to the appropriate department and employee
- Log all telephone messages, visitors and employees concerns for record and back tracking purpose
- Pick up, receive and deliver the in/outgoing mail and documents from suppliers and properly distribute to the concern department and employee
- Meet and greet all visitors, answer queries and direct to the appropriate individual
- Responds promptly to customer needs and request for service and assistance
- Assist in the planning and preparation of meetings, conferences and conference telephone calls
- Make preparations for Management, visitors and committee meetings
- Prepares requests for work permit, pullout, gate pass and delivery re: Forum tenants
- Monitor van schedule and gas consumption every week
- Assist in client tripping schedule
- Prepares Material Request and Inventory of Supplies (Office Supplies, Cleaning, Ink, and Medicines)
- Monitor the use of cleaning materials and supplies for Forum Office, Elements Site and Showroom.
- Perform other related duties as required
Qualifications:
- At least College Graduate
- Excellent communication and interpersonal skills
- Prior experience with Microsoft Office and typing
- Organized and resourceful
- Customer focused
- Active listener
