Job Summary
We are seeking a highly motivated Office Support Staff to ensure our law office operates efficiently. This role is essential to our daily operations, providing vital administrative support to our lawyers and assisting with client interactions, file management, and general office tasks
Key Responsibilities
Front Desk & Client Management:
Professionally handle all incoming calls, screen, and direct them as needed.
- Greet clients and visitors warmly, ensuring a positive first impression.
- Manage incoming and outgoing mail, courier deliveries (LBC, Grab, etc.), and email correspondence.
Administrative & Clerical Support:
Assist lawyers with calendar management, scheduling meetings, and client appointments.
- Perform data entry, photocopying, scanning, and filing of documents.
- Maintain and organize the firm's physical and digital records (case files, client information).
- Monitor office supplies inventory and place orders when necessary.
- Assist in basic bookkeeping, tracking expenses, and preparing simple reports.
Operational Support:
Prepare and format basic letters, correspondence, and simple documents.
- Assist with the notarization process (e.g., preparing jurat/acknowledgement pages, managing the notarial book).
- Run essential errands, such as filing documents with government agencies (courts, SEC, BIR, LGU, Registry of Deeds) or handling bank transactions.
- Maintain the orderliness and cleanliness of the office.
Qualifications and Requirements
- Education: At least a graduate of any 2-year course or Bachelor's degree (Business Administration, Office Administration, Legal Management, or related fields are a plus).
Experience:
Previous experience in an administrative, clerical, or customer service role is an advantage.
- Experience in a law firm is preferred but not required.
- Fresh graduates who are proactive and quick learners are encouraged to apply.
Skills:
Resourceful.
- Excellent verbal and written communication skills (English and Filipino).
- Proficient in Microsoft Office (Word, Excel, etc.) and Google Workspace (Doc, Sheets, etc.)
- Highly organized with strong attention to detail.
- Ability to multitask, prioritize tasks, and work efficiently.
- Resourceful, dependable, and trustworthy.
- Must be able to handle sensitive information with strict confidentiality.
- Professional attitude and appearance.
