About the Role:
We are hiring a highly dependable, mid-level Executive Virtual Assistant to support the client, a high-performing entrepreneur managing multiple ventures across property development, high-end retail, and cryptocurrency. This is not an entry-level role, we are seeking someone with the maturity, experience, and proactive mindset to manage complex logistics and anticipate needs before they arise.

You'll serve as the executive's right hand, owning day-to-day administrative functions, coordinating global travel, and ensuring operational fluidity across time zones. The gold standard for this role is excellence, inspired by a former assistant who intuitively made things happen before they were asked.

Key Responsibilities:

  • Anticipate needs and act independently to prevent problems before they arise
  • Manage and organize a high-volume inbox; flag, prioritize, and respond where appropriate
  • Maintain the executive's calendar, book appointments, and coordinate meetings across time zones (Europe, Africa, Caribbean, Far East, and U.S.)
  • Coordinate complex travel logistics, including flights, hotels, visas, and ground transportation
  • Handle procurement and order placements for high-end products and business supplies
  • Clean, format, and organize sensitive documents and presentations
  • Provide basic data entry into financial software and Excel spreadsheets
  • Maintain and update internal trackers, reports, and databases
  • Adapt communication style for stakeholders from different regions and cultural backgrounds
  • Ensure follow-ups and details never fall through the cracks

Preferred Candidate Profile:

  • Fluent in English (written and spoken) with a neutral accent
  • Obsessive attention to detail, you triple-check your work and then check again
  • Highly proactive with a sixth sense for catching issues others miss
  • Strong work ethic and ability to operate independently with little oversight
  • Emotionally intelligent, respectful, and culturally adaptable
  • Comfortable working across multiple time zones and changing schedules
  • Maintains discretion and handles sensitive information with confidentiality
  • Able to work rotational or flexible hours to ensure global availability

Technical Requirements:

  • Proficient in Microsoft Excel (formulas, sorting, pivot tables, etc.)
  • Strong command of Microsoft Word, Google Workspace, Dropbox or similar tools
  • Familiar with MacOS or confident learning new systems independently
  • Highly email-literate and able to organize and manage high-volume correspondence
  • Bonus: Experience with cryptocurrency operations or terminology
