Payroll Officer

Job Description

The Payroll Officer is responsible for the accurate and timely processing of the company's payroll, ensuring compliance with government mandates, company policies, and audit requirements. The role manages payroll records, handles employee queries, and supports HR/Finance in maintaining reliable compensation data.

Key Duties & ResponsibilitiesPayroll Processing

  • Prepare and process end-to-end payroll for all employees (monthly, semi-monthly, or weekly, as applicable).
  • Validate and compute hours worked, overtime, leaves, holidays, shift premiums, and other adjustments.
  • Maintain and update payroll data such as new hires, terminations, salary changes, deductions, and benefits.
  • Ensure accurate computation of government contributions (SSS, PhilHealth, Pag-IBIG).

Government Compliance

  • Prepare and remit monthly government contributions and loan payments.
  • Handle BIR-related payroll requirements such as withholding tax, annualization, and 2316.
  • Coordinate with government agencies for employee updates, payments, and reporting.

Documentation & Reporting

  • Maintain confidential and accurate payroll files and employee master data.
  • Generate payroll summaries, variance reports, and payroll register for Finance/Accounting.
  • Prepare and reconcile payroll-related accounts for month-end closing.
  • Ensure proper documentation and filing of all payroll-related records.

Employee Support

  • Address employee inquiries on pay, benefits, deductions, and payroll policies.
  • Coordinate with HR and department heads regarding attendance, disciplinary deductions, and benefits.

Systems & Process Improvement

  • Utilize HRIS or payroll system to ensure accurate data management.
  • Recommend improvements for payroll efficiency, accuracy, and internal controls.
  • Support system upgrades and implementation of payroll-related modules.

Qualifications

  • Bachelor's degree in Accountancy, Accounting Technology, HR Management, Finance, Business Administration, or related field.
  • At least 2–3 years of experience in payroll processing; experience with large employee headcount is an advantage.
  • Strong understanding of payroll processes, compensation rules, and statutory requirements (SSS, PhilHealth, Pag-IBIG, BIR).
  • Proficiency in payroll systems or HRIS (Empleyado, Sprout, Salarium, HCM, QuickBooks, or similar).
  • Strong analytical and numerical skills with high attention to detail.
  • Ability to work with strict deadlines and maintain accuracy.
  • Excellent confidentiality, integrity, and professionalism.
  • Proficient in MS Excel (pivot tables, VLOOKUP, formulas preferred).
  • Strong communication and customer service skills.
