Summary:
The Executive Support Specialist provides high-level administrative and project support to senior leadership. This role is responsible for managing executive calendars, coordinating meetings, preparing travel arrangements, and serving as a key liaison between executives and both internal and external stakeholders. The specialist will also assist with project management activities, monitor deadlines, and support the execution of special initiatives, ensuring smooth day-to-day operations.
Essential Functions:
- Calendar & Meeting Management Manage complex calendars for executives, including scheduling meetings, appointments, and events. Coordinate logistics, prepare agendas, and ensure timely follow-up on meeting action items.
- Communication Coordination Serve as a primary point of contact for internal and external communications. Draft, review, and distribute correspondence on behalf of executives, maintaining a high level of professionalism and discretion.
- Administrative Support Perform a variety of administrative tasks such as data entry, document preparation, filing, and information management. Maintain organized and up-to-date records.
- Project & Deadline Tracking Assist in managing multiple projects by tracking progress, monitoring deadlines, and coordinating follow-ups to ensure timely execution.
- Travel Coordination & Expense Reporting Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries. Process travel reimbursements and handle related expense reports.
- Event Logistics Support planning and logistics for executive meetings, events, and off-site functions. Provide on-site assistance as needed to ensure smooth execution.
- Confidentiality & Professionalism Handle sensitive and confidential information with a high degree of discretion and integrity.
